Privacy policy

This policy explains how Rsquare SRL, trading as R2Scan ("we"), processes the personal data collected through www.r2scan.com, in accordance with the General Data Protection Regulation (GDPR) and Belgian law.

Data controller

The data controller is Rsquare SRL, Rue André Dumont 12, 1435 Mont-Saint-Guibert, Belgium (enterprise number 0878.359.744). For any privacy request, write to info@r2scan.com.

What we collect and why

  • Contact and quote requests: name, company, e-mail, telephone and message. Purpose: answering your request and preparing a quote. Legal basis: pre-contractual measures and our legitimate interest in answering business enquiries.
  • Customer account and orders: company details, contact person, billing and delivery addresses, VAT number and order history. Purpose: performing the contract, invoicing, delivery, after-sales support and legal obligations. Legal basis: contract and legal obligation.
  • AI shopping assistant: the messages you type in the chat widget. Purpose: helping you choose a product. Messages are processed by a third-party AI language-model provider acting on our behalf. Please do not enter sensitive personal data in the chat. Legal basis: our legitimate interest in assisting visitors.
  • Audience measurement (Google Analytics 4): pages viewed, device, approximate location and traffic source, collected through cookies. It is activated only after you accept it in the cookie banner. Legal basis: your consent.
  • Technical data (IP address, server logs, session cookie): operating and securing the website. Legal basis: our legitimate interest.

Recipients and transfers

Your data is accessible only to our staff and to service providers who process it on our behalf (hosting and IT, e-mail, payment services, analytics, AI assistant). We do not sell personal data. Some providers, such as Google, may process data outside the European Economic Area; such transfers rely on appropriate safeguards (adequacy decision or standard contractual clauses).

Retention

  • Contact requests that do not lead to an order: up to 3 years after the last contact.
  • Customer and accounting data: 7 years, as required by Belgian accounting and tax law.
  • Chat messages: kept for a limited period, no longer than 12 months.
  • Analytics data: no longer than 14 months.

Your rights

You have the right to access, rectify, erase, restrict and port your personal data, to object to its processing and to withdraw your consent at any time. To exercise these rights, write to info@r2scan.com; we reply within one month. You may also lodge a complaint with the Belgian Data Protection Authority (Autorité de protection des données, Rue de la Presse 35, 1000 Brussels, www.autoriteprotectiondonnees.be).
